Secretary

We are looking for a Secretary to our Board of Trustees!

 

 

Role Purpose  

To monitor and support the development of Common Thread Vision in keeping with its charitable objectives and act in the interest of the organisation. 

Responsibilities and Duties 

  • To support the aims and objectives of the organisation through good governance 
  • To represent the views of service users and make decisions to respond to their needs 
  • To support the development of policies and procedures as and when required 
  • To ensure that policies and procedures are being complied with at all times 
  • To ensure all financial information is in line with the legislative requirement 
  • To consult the views of users/carers regularly 
  • To attend all meetings of the full Trust Board, which are held at least once a month and record minutes. 
  • To monitor the progress of projects being delivered by Common Thread Vision

  • Meeting Management: Organising and Facilitating Meetings: Preparing for board meetings;The secretary is responsible for arranging trustee board meetings, including setting agendas, sending out meeting papers, and ensuring timely notification to all trustees. 
  • Minute Taking: Accurately recording minutes of meetings, including decisions made and actions agreed upon, and distributing them to trustees promptly. 
  • Following Up on Actions: Ensuring that actions agreed upon at meetings are followed up and completed in a timely manner. 
  • Record Keeping and Administration: Maintaining Records; Keeping accurate records of all meetings, decisions, and actions, as well as other relevant documents and correspondence. 
  • Administering the Charity: Supporting the board in the day-to-day administration of the charity, including managing correspondence, filing documents, and ensuring compliance with legal and regulatory requirements; Answering calls, taking messages, and handling correspondence, maintaining diaries, and arranging appointments, typing, preparing, and collating reports. filing.
  • Other Responsibilities: Supporting the Chairperson; Working closely with the chair of the board to ensure the smooth running of meetings and the effective governance of the charity; Induction of New Trustees: Assisting in the induction and training of new trustees, ensuring they are aware of their responsibilities and the charity's governance framework.; Other meetings: The secretary will normally play a support role in setting up and running any Annual General Meeting (AGM) where required. The secretary may delegate some or all of these duties, but responsibility for his or her performance remains with the secretary.

Regular support and supervision will be provided. We realise that some volunteers may require more support than others. An allocated named person to offer support, provide guidance and offer being a mentor, to develop and support the volunteer and the team. A record will be kept on the appraisal.
