Job Purpose:
To support the Head of Student Engagement in the overall duties of the democracy and representation department in line with our strategic and operational plans.
To develop and co-ordinate the democracy and representation systems, supporting the election of representatives, developing and organising their training, including working alongside reps to research student issues and generate change within the University.
Job Scope:
Management of the democracy & representation team and offer staff support to the Vice President of Education to develop their campaigns, develop rep training and enhance both the representation and democratic models
Main Responsibilities:
Management:
To support the Head of Student Engagement to ensure that staff are supported, developed and motivated.
To assist in the development of staff by encouraging a learning and development culture
To assist in the enhancement of a vibrant and fun customer service culture
Student Representation:
To maintain regular contact with Class and Faculty Representatives, assisting reps in preparing for meetings, identifying both issues and good practice within Faculties and departments, and providing timely briefings on issues of relevance to the academic experience.
To work with the Head of Student Engagement to implement specific approaches designed to empower and enable students who are under-represented, or face barriers to participation in the student representation system.
To develop and support the training, recruitment and on-going briefing of class reps.
To work with the Advice hub to identify key trends that impact students.
To work alongside the Advice hub to provide academic case work support to students when necessary.
To assist Course and Faculty reps in the promotion of the Students’ Union’s project and service portfolio to the wider student body.
To work with the Head of Student Engagement to compile and analyse data related to student representation that will feed into the Annual Impact report.
To support the Head of Student Engagement in the design, research and delivery of the Students’ Association’s Annual Student Statement project.
To maintain a working knowledge of policy developments and initiatives in Higher Education and brief colleagues accordingly so as to ensure that the Union’s representational work is current, relevant and informed.
Democracy:
To support the Head of Student Engagement with the development of the USSA student elections and increase both participation of candidates and voting turn-out.
To support the Vice President of Education to ensure that they are supported in the shaping and realisation of their aims and objectives.
To support the Head of Student Engagement in the organisation of the USSA elections.
To provide support for the day to day operation of the Union’s democratic groups and bodies including promoting and arranging meetings, keeping and disseminating minutes, records and agendas of democratic meetings.
To look at digital opportunities to enhance student democracy.
To ensure that the Student Parliament is appropriately administered and run within the rules established within the by-laws of the Students’ association constitution.
Student Care:
To work in effective collaboration with Student officers and all departments within USSA.
To ensure that students’ expectations are exceeded wherever possible.
To deal with feedback, whether positive or negative, in a courteous, efficient and timely manner.
General:
To comply with all USSA policies, procedures and governing documents.
To work within USSA’s Mission, Vision and Values at all times.
To be responsible for all Health and Safety requirements related to the role.
To undertake any other tasks commensurate with the level of appointment that may from time to time be reasonably requested.
The post-holder is expected to portray a positive image of the Association, both internally and externally and to set high standards of personal integrity and professionalism at all times, leading by example.
The post-holder is expected to build and maintain professional networks to ensure knowledge is kept up-to-date.
The post-holder is expected to undertake such personal and professional development as required to maintain appropriate knowledge and skills to fulfil the requirements of the role. This may include attending events away from the offices of the Association and outside Glasgow.
Key relationships:
Internal: Head of Student Engagement, Sabbatical officers, departmental staff and staff of the Association.
External: NUS, colleagues in other students’ unions, any other relevant external organisations to the role.
Other Information:
The role is subject to a 6 month probationary period.
The post-holder will be eligible to join the Universities' Superannuation Scheme (18% employer contribution/ 8% employee contribution).
The post may include occasional evening and weekend work.
It is expected that the starting grade for this role would be 6.1 (£27,285).
31 days annual leave per year plus 11 public/bank/local holidays.
