Job Description

Reports To: Student Opportunities Manager      

Salary: £26,642 to £29,659 (Grade 5)

Contract Type: Permanent 

Hours of Work: 35 hours/week, Monday-Friday day time (not suitable for current students)             

 

Summary

This role will work as part of a team to focus on maintaining and developing Strath Union’s approximately 200 varied societies. This will include working closely with elected students and colleagues in the team to ensure student societies and activities are diverse, inclusive, and accessible.

The role will support student groups with their events and deliver relevant training and workshops to volunteers. This position will also help to deliver and promote key Student Engagement department events and activities, such as welcome weeks and volunteering awards.

The ideal candidate will utilise their skills and experience to provide effective support to Strath Union’s societies and student activities, using initiative and problem solving to continually develop processes and resources. The successful candidate will enjoy a varied workday in a vibrant workplace with a competitive salary within the sector.

 

Job Scope

Primary Responsibilities:

  • Oversee room bookings for all societies and liaise with colleagues to coordinate and maximise the use of space in the Union and University.

  • Operate the student group finance system for societies, including processing payments and grants, and supporting students with budgeting for their activities.

  • Act as the primary point of contact for all inquiries related to student societies and activities, ensuring prompt and professional communication with both students and colleagues to enhance engagement and support.

  • Deliver relevant training and workshops for volunteers including the creation and development of online and in-person training resources.

  • Support student groups, societies, and volunteers to deliver their events and trips ensuring that risk assessments, transport bookings and appropriate insurance are in place.

  • Support the Societies Executive Committee and Vice President Community by preparing papers, facilitating committee Meetings, Society General Meetings and Annual General Meetings including all follow up actions.

  • Facilitate relevant meetings including preparation of papers and communication of outcomes.

 

Secondary Responsibilities:

  • Work with students and colleagues to maintain and develop a diverse, exciting, and relevant range of student societies and activities.

  • Take the lead in supporting widening access student groups by serving as their primary point of contact and fostering the growth and development of relevant societies.

  • Offer guidance and training to society leaders to help them create inclusive and accessible communities and activities.

  • Write and edit content for webpages and communicate relevant updates and opportunities to committee members including regular societies newsletters and guidance.

  • Plan, promote, and deliver key Student Engagement department events and activities, such as welcome weeks and volunteering awards.

  • Implement relevant policies and procedures across student activities and collaborate on their continuous improvement.

Support:

  • Support members of student staff within the team including delegating and overseeing tasks and projects.

  • Support the elected Student Officers with planning and delivering relevant projects and events.

  • Support the work of the Student Opportunities Manager and other colleagues in delivering departmental projects, activities, and events.

  • Contribute to annual impact reporting for relevant areas relating to student activities, fundraising and events.

Student Care:

  • Work in effective collaboration with Student Officers and all departments within Strathclyde Students’ Union.

  • Ensure that students’ expectations are exceeded wherever possible.

  • Deal with feedback in a courteous, efficient, and timely manner.

General:

  • Comply with all Strath Union policies, procedures, and governing documents.

  • Always work within Strath Union’s mission, vision, and values.

  • Be responsible for all health and safety requirements related to the role.

  • Undertake any other tasks commensurate with the level of appointment that may from time to time be reasonably requested.

  • Portray a positive image of Strath Union, both internally and externally and to set high standards of personal integrity and professionalism at all times, leading by example.

  • Build and maintain professional networks to ensure knowledge is kept up to date.

  • Undertake such personal and professional development as required to maintain appropriate knowledge and skills to fulfil the requirements of the role. This may include attending events away from the offices of Strath Union and outside Glasgow.

  • Sustainability is a strategic priority for Strath Union and the post-holder will be expected to engage with sustainable workplace practices and relevant training such as carbon literacy.

Key relationships:

Internal: Student Engagement Management, Elected Student Officers, Reps and Society Committee Members. Other Strath Union staff including Student Engagement, Finance, Marketing and Communications and Commercial team members.

External: University of Strathclyde, NUS (National Union of Students), colleagues in other students’ unions, any other relevant external organisations to the role.

 

Person Specification:

Essential

  • Degree level qualification or equivalent professional experience

  • Relevant knowledge of student societies and activities

  • Experience of event and/or project management

  • Experience of delivering training or teaching

  • Experience of creating training or educational materials

  • Ability to establish and maintain strong working relationships with internal and external colleagues and partners

  • Strong problem-solving skills

  • Ability to present information clearly and concisely in writing or verbally

  • Strong organisation skills and ability to deal with multiple tasks and areas of work concurrently

  • A positive, student-centred approach

  • Reliable and trustworthy

  • Self-motivated and able to work using own initiative

  • Ability to engage positively and proactively with a wide range of students and stakeholders from diverse background and cultures and with diverse needs

  • Relevant knowledge of developments in the Student Union and Higher Education sectors

Other details

  • The role is subject to a 6-month probationary period.

  • The post-holder will be eligible to join the Strath Union workplace pension scheme.

  • The post may include weekend and occasional evening work.

  • It is expected that the starting grade for this role would be 5.1.

  • 31 days’ annual leave per year plus 11 public/bank/local holidays (pro rata as necessary).

  • Hybrid working may be available for this role.
